The Technical Services Coordinator facilitates the discovery of and access to Ambrose Library resources which support the institution’s educational programs and research activities. Primary responsibilities are to oversee acquisitions and cataloguing, administer the integrated library system and associated platforms, and maintain the physical and electronic collections. Responsibilities also include assisting with public services operations as needed. The Technical Services Coordinator works with other team members in a highly consultative and collaborative environment, and contributes to furthering the priorities and directions as established in the library’s strategic plan.

Duties and Responsibilities

Acquisitions & Cataloguing

  • Liaises with faculty re. new publications and purchase requests
  • Consults with university bookstore to determine textbooks to be ordered each semester
  • Orders and receives library resources, which include print books, ebooks, periodicals
  • Communicates with vendors regarding purchases, claims, duplicates
  • Authorizes acquisition and subscription invoices for payment and submits to Finance
  • Tracks acquisitions and expenditures and generates reports for the University Librarian
  • Keeps track of and orders book processing, archival, and office supplies for the library
  • Performs copy cataloguing and creates original metadata records for new library acquisitions and submissions to the institutional repository
  • Maintains the library’s catalogue which provides access to over 1,300,000 titles; ensures that existing records are consistent and align with the needs of the library’s primary user groups

 

Systems Administration

  • Configures and maintains integrated library system (Alma/Primo) including acquisitions, admin, analytics, discovery, and fulfillment modules
  • Attends Southern Alberta Integrated Libraries (SAIL) Alma & Primo Working Group meetings and participates in Canadian Regional Users Group (CANRUG) meetings for Ex Libris systems
  • Keeps library team apprised of Ex Libris updates
  • Works with Ambrose Registrar and IT to facilitate integration of student records with library system
  • Maintains OpenAthens authentication system

Collection Maintenance

  • Activates e-resources and ensures that authenticated links are working
  • Liaises with software and e-resource vendors to resolve technological issues
  • Identifies physical resources that require re-labelling, repair, or re-purchase; performs basic book repairs as needed
  • Withdraws from the system deselected resources and processes physical discards
  • Prepares, ships, and receives materials for binding (e.g., theses, periodicals)

Other Library Services

  • Oversees interlibrary loan: manages resource sharing in Alma, monitors interlibrary loan email account; submits borrowing requests to/fulfills lending requests from partner libraries; creates shipping labels and packages materials for shipment; creates and sends invoices; makes and receives payments; tracks interlibrary lending/borrowing activities and compiles statistics for the University Librarian
  • Shares management of course reserves with other team members: creates courses in Alma and attaches reading lists; pulls resources from stacks to be put on reserve at the beginning of each semester; restores items on reserve to original location at the end of each semester
  • In the absence of the Public Services Librarian and/or University Librarian, opens/closes library and provides on-demand public services

Performs any other tasks that may be assigned by the University Librarian. Expected to follow academic library best practices for assigned operations and services. Completion of necessary training related to system upgrades and new technologies will be supported.

Qualifications

Education: A Library Information Technology diploma or equivalent as well as an undergraduate degree is required. Certification in Ex Libris Alma and Primo is considered an asset and will be required post-hire.

Experience: Two years in a Library Technician or Library Assistant role is preferred. Familiarity with the academic library environment and interlibrary loan processes is welcome.

Skills: Knows library standards, procedures, and tools; excellent organization and careful attention to detail; proficient oral and written communicator; competent in general office and computer skills.

Personal: Relates well to patrons and other staff; self-directed; adapts well to change; possesses good work habits and a sound work ethic; has a growth mindset.
