The Admissions and Transfer Specialist is primarily responsible for the admissions process of students providing accurate and relevant information to bring applicants to the status of enrolled. The Admissions and Transfer Specialist is responsible for the admissions process and transfer evaluation process for both applicants and enrolled students to assist in the recruitment and retention of students. The Admissions and Transfer Specialist works within Enrolment Management and reports directly to both the Manager of Recruitment and Admissions and Assistant Registrar.

Duties and Responsibilities

Implement and monitor an admissions and transfer plan that reflects the strategic goals of Ambrose, which is in alignment with the Strategic Enrolment Management Plan and best practices in post-secondary education.

  • Remain updated and current in policies and procedures (both internal and external) as they pertain to admissions.
  • Evaluate applicant documents (references, application form, unofficial and official transcripts) for admission to ensure students meet entrance requirements, liaising with faculty, the Manager of Recruitment and Admissions, and the Office of the Registrar as needed.
  • Admit students to Ambrose based on established admission requirements.
  • Coordinate applicant communication plan to increase Admit and Yield rates.
  • Ensure that all application documents and the Academic Calendar admissions criteria are accurate.
  • Provide appropriate acceptance/visa letters for admitted international students.
  • Prepare accurate reports (monthly, bi-monthly, annually) for internal and external stakeholders.
  • Frequently monitor and recommend admission criteria adjustments to meet our Ambrose enrolment objectives.
  • Coordinate with the Financial Aid Coordinator relating to scholarship eligibility and awards.
  • Maintain student records (database), ensuring that accuracy, confidentiality requirements, and student expectations are fully met with regards to scholarships, including coordinating with the Finance department with respect to financial and student change of program.

Transfer

  • Analyze, authenticate, research, evaluate, and process official transcripts to determine transferability of coursework and/or equivalency toward degree completion.
  • Communicate with applicants, students, and academic staff regarding transfer credit (including transfer credit, advanced standing, and letters of permission) process and evaluations.
  • Respond to inquiries from faculty, staff, students, other college/university personnel, and the public concerning course equivalencies.
  • Ensure a smooth transfer student experience.
  • Coordinate pre-transfer evaluations with the Office of Admissions and potential transfer students.
  • Provide resources and attend transfer events (i.e., Transfer Credit Fairs).
  • Document transfer credit in student information system.
  • Develop and maintain automated transfer evaluation catalogue.

Team Member

  • As a member of the Enrolment team, assist other team members and be willing to work on projects outside of the position description.

Qualifications

Education and Experience

  • Bachelor’s degree.
  • 3 – 4 years of experience in a directly related position.
  • Prior experience working with university programs.
  • Familiar with the ethos of higher Christian education is an asset.

  • Excellent organizational skills.
  • Familiar with a computerized environment (Microsoft 365, Student Information Systems)
  • Able to learn new software.
  • Excellent written communication, oral communication, interpersonal, and public relation skills that display tact and diplomacy with students and provide excellent customer service.
  • Able to think and evaluate critically.
  • Excellent verbal, written, and problem-solving skills.
  • Excellent organizational and time management skills.

  • A compensation package commensurate with education and experience is available.
  • Employment is contingent upon satisfactory background criminal check.
